Access all the booking data you need in just a few simple clicks!

From this article you’ll be able to understand how to access and manage your bookings efficiently. 

Overview of your bookings

The Bookings section of the Hub dashboard provides an overview of all your upcoming, past and canceled bookings in a table format. By switching the “Experiences” / “Spaces” toggle, you may view the bookings for each respective service. In this article, we will be focusing on the Experiences subsection as the Spaces one’s interface and functionality works in the same manner.

By default, all bookings are grouped according to the respective Experience – you can always find the one you need by typing its title in the search field at the top bar.

Each row consists of the Experience title and booking date, alongside the Experience type, host, booking status, booking time, number of tickets booked, and total sales (excluding fees).

If you’re wondering what each booking status means in relation to the number of tickets booked, here’s how we define them:

  • No bookings (red) – 0 tickets booked

  • Partially booked (yellow) – at least 1 ticket has been booked (up to 50% of the tickets)

  • Mostly booked (blue) – more than 50% of the tickets have been booked

  • Fully booked (green) – 100% of the tickets have been booked

If you need to filter bookings according to their timeframe, you may refer to the left sidebar:

  • Upcoming – shows the bookings for those Experiences that are yet to happen.

  • Past – shows the bookings for those Experiences that have passed.

  • Cancelled – shows the bookings that have been cancelled either by Learners or you as a Hub. 

The “Add an Experience” button below the left sidebar allows you to add new services as well.

Clicking the filter icon at the top right corner of the table also enables you to filter your bookings by status and date range.

Accessing your Learners’ booking data

To view the information of those Learners who booked your Experience you have 2 options:

  • click the arrow to the left of the Experience title, or

  • click the 3 dots in the “Action” column and navigate to “View Learners”.

Each row of the expanded section contains: the main contact’s name, email address, phone, booking time, number of tickets booked, and total paid (excluding fees). You may also view the bookings details on a separate page by clicking “Details”

In case there are multiple tickets booked by one Learner (main contact), the additional details will be shown in the “Tickets and Guests” column.

What actions can you perform with your bookings?

The following actions can be performed with your bookings data on Mereka Connect:

  • CSV export: allows you to download bookings as a CSV file which can be viewed via Microsoft Excel or Google Sheets. You may export your bookings in bulk by clicking the “CSV Bulk Export” icon at the top bar.

Alternatively, you may click the 3 dots in the “Action” column and navigate to the “Export Bookings” option to download the CSV file for a specific Experience.

  • Sending an announcement: you can send an important message before the start date of your Experience to all Learners who booked it. It would be sent out to everyone in bulk as an email. Please note that it should only include text – attachments aren’t supported at the moment.

  • Managing your listing: clicking the 3 dots in the “Action” column and navigating to the “Manage Listing” option allows you to quickly access and manage your Experience listing. Learn more about managing your services here.

  • Cancelling your session: it is possible to cancel a particular Experience by clicking the 3 dots in the “Action” column and navigating to the “Cancel Session” option. All cancelled sessions alongside Learner-initiated cancellations would be shown in the “Cancelled” tab on the left side bar. Please consider our cancellation policy for Hubs before proceeding with this action. 

  • Viewing Learner reviews: in case any of your Learners left feedback for past Experiences, you may view it by navigating to the “Past” tab of the left side bar, finding the relevant Experience, clicking the 3 dots in the “Action” column and navigating to the “View Reviews” option.

 Adding bookings for your Learners

There might be cases when you need to add bookings to a particular Experience manually, e.g. when your Learners wish to pay outside the platform (by cash or via online transfer) and you’d like to account for their booking in order not to exceed the maximum capacity. Here is how to utilize the “Add Booking” feature if such scenario occurs:

  1. Click the “Add Booking” button at the top bar of the bookings table.

  2. Select the relevant Experience from the dropdown menu or type its title.

  3. Select the date you’d like to add the booking for (if your Experience is recurring).

  4. Add your Learners’ details (name, email and phone) and click “Add Bookings”. Your Learners would receive a booking confirmation email in their inbox.
